Why should I submit a report?

It is important to us that the relationship between GEODIS and its employees, customers, suppliers, and business partners is characterised by mutual trust. This requires high ethical standards and the observance of laws and regulations.

You might be aware of behaviour and risks that may endanger our company, its employees and its stakeholders. Your report will enable us to detect such issues on time, avoid damages or even mitigate or improve our organisation.

As the author of this report, we want to protect you effectively. For this purpose, we offer you a secure communication platform either by giving your name or remaining anonymous. This system may not be used to knowingly submit false or slanderous reports.

Which incidents can be reported?

You can submit reports about suspected or actual violations of the GEODIS Code of Ethics or other internal regulations, as well as any unlawful acts relating to the following categories:

• Corruption, influence peddling and conflicts of interest
• Money laundering/ Fraud/ Books and records falsification
• Appropriation of assets
• Anti-competitive practices
• Breach of Data Protection
• Discrimination/ harassment/ violence or threat
• Violations of social standards and labour law/ Illicit employment
• Violations of health and safety regulations
• Violations of environmental protection regulations
• Violation of Human Rights
• Other ethical malpractice

This system is not intended to receive and deal with an emergency that would constitute a significant and immediate threat to human health, safety or life, or that could cause extensive and irreparable material damage. In such cases, priority must be given to contacting the local authorities or emergency numbers (Police, EMS, emergency services, fire brigade, etc.) available within the country.

How is the reporting process structured, and how can I set up a postbox?

In order to submit an anonymous or personalised report, start by clicking the "Submit Report" button located on the top left side of our introduction page.

The reporting process consists of four steps:

1. Read the information text about the protection of your anonymity, then answer a security query.
2. After answering the security query, you will be taken to the next site. You will be asked about the category of your report.
3. The report page allows you to elaborate on your report in your own words (maximally one A4 page), and answer questions about the case. You may also attach a file to support your report. Please keep in mind that documents may contain information about their author, which may result in a loss of anonymity. After submitting your report, you will receive a receipt with a reference number.
4. Finally, you will be asked to set up your own secured postbox. This postbox will allow you to access our feedback and reply to our questions.

If you already have a secured postbox, you can access it directly via the "Login" button. This also requires you to answer an initial security query.

As long as you do not personally enter any data that will facilitate conclusions about your identity, the BKMS^® System (Business Keeper Monitoring System) will protect your anonymity technically.

How do I receive feedback and still remain anonymous?

The overriding principle of the BKMS^® procedure used here is the protection of the whistleblower. The anonymity protection function of the system has been certified by an independent body. When setting up your secured postbox, please select your own user name and password. Your report will be kept anonymous through encryption and other special security technologies.

As long as you do not personally enter any data that will facilitate conclusions about your identity, the BKMS^® System will protect your anonymity technically. You can protect your anonymity further by taking note of the security advice on the following page of the BKMS^® System.

An authorized officer at GEODIS will contact you via the secured postbox. The officer will let you know what happens to your report, or they might ask you questions if any details of your case are still unclear. You will remain anonymous throughout the dialogue.
